MANAGEMENT & DUTIES WITHIN THE WORK PLACE

It is the management’s responsibility to ensure that all staff are aware of their responsibilities, for providing a quality service and the need for continual improvement.

Hadfield and Britain Ltd employs a total of 17 People:

7x Plumbing/ Heating Engineers
2x Apprentice Plumbing/Heating Engineers
1x Stores Manager

Hadfield & Britain Ltd provide an out of hour’s service for some contracted works. This is organised on a rota basis within the company, which means that each engineer is on call for a period of a week alternating each week. The client is given a designated number to call for any out of hour emergencies; this is then logged by the person on call and completed within the agreed time period.

All the above are responsible for different aspect of the smooth running of the company as a whole.

All works come in to the office either via the telephone, e-mail, fax or post. The majority of works our company carry out are on a tender basis and all documentation is received by our office staff and passed to the appropriate department for pricing.
In order for us to complete some tenders it is necessary for us to visit the site/property to investigate the works which are required in depth. Once a mutually convenient site visit has been arranged by our office and the client the appropriate person then visits site and take any brochures/information the client may need and enable him to collect any information he requires in order to tender for the works. With regards to some tenders, designs are required and additional information; during this site visit all specified information can be acquired.

The staff within our office are responsible for the organisation of works, from receiving the order for the works it is then there duty to contact the client to arrange a mutually convenient appointment for either the Installations Manger if necessary to call out to assess the works or to make an appointment for the works to be scheduled to commence. All orders/job acceptances are logged on a database and no personal information such as contact details are accessible to any other members of staff apart from those within the office.
After a suitable date has been scheduled for the works to be completed it is then logged into a jobs diary and given to the appropriate engineer to carry out these works. It is then the responsibility of the engineer to ensure that any problems which arise whilst carrying out this work are reported to our office staff so the appropriate action can be taken.
Depending on the specification of the works carried out, a completion certificate may require completing. These are carried out for all new installations to ensure that all works have been completed to a satisfactory level which allow us to liaise with the client, which then minimises any later complaints.
If complaints do arise with regards to any works carried out, it is logged by our office and depending on the severity of the complaint it is forwarded to the appropriate department to resolve without any further inconvenience to the client.
All materials are either available from our stores or delivered straight to site from our suppliers.
All engineers are briefed on each job they carry out as to what it requirements are and any special instructions, It is then the responsibility of the Plumbing/Heating Engineer(s) to ensure that they arrive on site with all materials/ machinery necessary to carry out these works.

On a day-to-day basis the engineers are required to fill in a job sheet which is an account of what job they have been on, what works they have completed that day, materials used etc. this then allows our office to keep track of where each individual engineer is up to on the job and also allows us to keep the client informed.

Some works are sub-contracted out to other companies for various different reasons. Before we sub-contract any Projects/works a Sub-contractors questionnaire is sent out to the company to be completed for our records. On this questionnaire we require references from other established companies and information with regards to the companies Health & Safety Policies and the general organisation of the company.
